Motion to approve the July13, 2013 Teleconference Minutes

E. Old Business:
1. To create a budget and also establish an annual budget review process for when year-end numbers become available. (Original issue from May 2013) As reported by MaryJo, this item continues in process. After review and collate, hope to have a draft to put before the board in August.
F. New Business:
Motion #1: That the Board approve the expenditure of $400 to be paid to Robin Remaley, our lay out person, to lay out, revise and finalize the ACA Meditation Book in print ready form. (Larry)
Background: The meditation books has been a work in progress for several years. The submissions have been edited several times and are currently posted for fellowship commentary on the ACA website. The review period will be over by mid-October. The layout person will begin laying this out for the printer now and will make any revisions, edits, changes we may deem necessary with no additional cost at the end of the layout period. Once the final version is ready, it will be forwarded to our printer and hopefully have them in the warehouse by November.
Motion #2: Motion to validate for record, majority WSO Board concurrence that Larry A as ACA WSO Board Chairman, sign the POA that authorizes Patricia of Wilshire Financial Services, Inc. to represent ACA WSO in the matter of the Drake Unemployment claim and related correspondence. (Karen)
Background: The concurrence was by emails exchanged July 30 and 31, 2013 between all current ACA WSO Board members. The POA was provided by Patricia at Wilshire Financial Services, Inc and allows her to act, represent and provide information on request to the EDD or other necessary parties. Larry's signature authorizes representation of the ACA WSO in the specific matter of the Drake Unemployment claim and related correspondence only. Patricia has provided for the board the EDD handbook on managing UI costs.
Motion #3: Motion that the ACA WSO Board pay for expenses relating to travel and accommodations for an ACA WSO Trustee, to attend the, "Addiction and its Effects on the Family" Conference being held September 6-7, 2013 in San Juan, Puerto Rico and to advance our Trustee, an initial $500 of total costs. Background: In response to an invitation to participate in this conference, the Board has authorized and appointed three (3) attendees: the Chair, the Spanish Translation and Spanish Group Liaison, and a Trustee as conference presenters and materials facilitators.
The organizers are providing expenses for travel and accommodations for two presenters. Estimated cost for the Trustee to attend is $1,300 and the advance would alleviate the need to tie up personal monies in the pre-weeks of planning this much appreciated service work.
All ACA WSO attendees will sell Spanish translated workbooks, give away "ACA Is…," field questions, collect literature, and gather pertinent resources.
Motion #4: Motion that the ACA WSO Board approve the consignment of ACA Literature e.g., the Spanish translated 12 Step workbook, to be sold at the September 6-7, 2013 "Addiction and its Effects on the Family" Conference being held in San Juan, Puerto Rico, and to cover costs of the other ACA materials, or supplies, e.g., a display for the table costing approximately $75. Background: Having ACA Conference Approved Literature for sale at the conference was suggested by the conference organizers. The table display will be designed so that it can be used for future domestic and international conferences.
Motion #5: Motion to authorize shipment of 100 Spanish ACA workbooks plus 10 BRBs to Leanne as the point person for literature and related supplies in regards to the "Addiction and its Effects on the Family" Conference in San Juan, Puerto Rico, September 6-7, 2013. (MaryJo)
Background: The materials will be displayed and offered for sale at the suggestion of the Conference organizers. At the time of shipment they will be recorded in our regular inventory numbers as consignment inventory. Proceeds from books sold will then allow those books to be recorded as regular sales. Unsold items will be returned to inventory with the accompanying inventory adjustment.
